My password has expired, or I have forgotten my CIW username and password, what do I do?
There are several ways to reset or recover your username and password if you were to forget it or lose it. Feel free to choose an easy way for you to do it. The Registrar's Office does not maintain or assign your username and password.

Who can use the RQS?
The RQS was developed so that some departments on the CU-Boulder campus can request fast and frequent access to useful Student Information. Each department can request as many different student data reports as they would like. The requests will be individually reviewed for FERPA & university compliance.

How do I get help with my query?
The Office of the Registrar will provide all the help and assistance any requestor needs in developing and completing the final query to satisfaction. The Registrar's Help Desk can be reached anytime Monday thru Friday during university Business Hours 303-492-0735. However, The Office of the Registrar cannot provide help or technical assistance with your computer, with your password, Microsoft Excel, or the data file itself once you have received it. We recommend you get computer help or technical assistance with Microsoft Excel from your department's technical support department or ITS. The ITS Service Center telephone number is 5-HELP (5-4357).

How much does it cost to add a query, and am I charged each time I use it?
Each RQS query costs $155 but is permanent for you! After two uses it has paid for itself, with no additional charges! There is one exception to this fee, that being a $75 an hour charge to modify any query after 30 days of its original completion.

What is the CIW, and do I really need access to it?
The CIW is the Central Information Warehouse. If you sometimes wish you could "inject" your PC with CU administrative data, rather than having to get the data from printed reports, microfiche, or reading it from one online screen at a time, you may be interested in the Central Information Warehouse (CIW). The CIW is a read only database containing University of Colorado administrative data. Click here for a more detailed explanation of the CIW.

How do I get access to the CIW?
To get access to the CIW, you need to fill out the CIW Access Form, and wait for approval via e-mail. Please keep in mind that in order to access the RQS queries, you will need to fill out an RQS Access Form as well. If you have questions about using these forms, or trouble using these forms please call UIS Access Management at 303.492.9457 option 1.

Why do I need another username/password, why can't I use my SIS?
RQS users are a select few and the Security of FERPA information is absolutely crucial . This access is limited to a select few, and the RQS provided data that is protected by FERPA. All users of this system must adhere to and comply with all of the guidelines required of this act.

Is there RQS training available to me?
There is RQS training available. Large group presentations will be posted on the home page of this web site, and training/presentation sessions are available in groups of up to 8. Feel free to e-mail Corey Wahl or call him at 303-492-5126 for the next available session, or to schedule a special session in Regent Administrative Center for you or your department.

What are the minimum requirements to use the RQS?
1. A computer with an Internet web browser
2. A computer with Microsoft Excel installed
3. A completed and approved RQS request
4. A completed Student CIW access form, username and password

Can I use the RQS as a Non-University Employee?
The RQS is available to Non-University Affiliates with an educational or operational need to know as determined by the University Registrar. Non-University Affiliates are accountable for all of the same

Do you offer Microsoft Excel help or training?
Unfortunately the Office of the Registrar does not provide Excel training for the data output. There are several resources to receive Excel.

What policies do I agree to in using the RQS query?
Statement of Understanding of Access to Student Data At the University of Colorado at Boulder:
Student data originated and stored on university computer equipment, through reports, or through the sharing of data files is university property. I understand that by virtue of my employment at the University of Colorado at Boulder, I may have access to records that contain individually identifiable student data, the disclosure of which is prohibited by the Family Educational Rights and Privacy Act of 1974 (FERPA). I will not exhibit or divulge the contents of any record or report to any person except in the conduct of my work assignment and in accordance with FERPA policies and procedures. I acknowledge that I fully understand that the intentional disclosure by me of this information to any unauthorized person, including another university employee, or the tampering of any data that resides on any data system, does violate university policy and could constitute just cause for disciplinary action, including but not limited to suspension of access privileges, a letter of reprimand, employment termination and/or accountability in a court of law. NOTE: The following items are considered directory information and can be released without the student's written permission (unless the student has requested privacy). Name, mailing and permanent addresses, local telephone number, e-mail address, dates of attendance, registration status, class, previous educational institutions attended, major field of study, awards, honors, degree(s) conferred, past and present participation in officially recognized sports and activities, physical factors (height, weight) of athletes, prior schools attended, names of student tutors and teaching/research assistants, seating assignment, and date and place of birth.

Can you give me an example of a RQS query?
Feel free to look around the query listing page at the existing RQS queries to get an idea of what other departments have done, and to get a look at what the general queries provide. A brief example might be, "I need a list of only the graduating students who are in the Economics department this term, and every term, so that I can send out announcements on graduation activities to students". Is the RQS query permanent for my department?
The query is permanent to you or your department until the current SIS system is replaced down the line. This means that the query is available to run anytime you or your department needs it. Proper CIW access and RQS access forms must be completed by each and every person who intends to use the query. If you would like to change your query once it is programmed, there is a $60 per hour programming charge.

Can my department have more than one RQS query?
Your department can request as many custom queries as they would like, at the charge of $155 per query, and it can request access to the RQS general queries for no cost at all.

I see red text and my query won't work, help!
I f you see red text when you attempt to run your query, you have received the only error that the query can produce. Please double check the parameter form fields so that you are entering the correct values in those respective fields and attempt to run the query again. If this still does not produce the desired outcome for you, feel free to contact the registrar's Help Desk at 303-492-0735 or click here to e-mail the Help Desk.

Where do I go to get help or technical support with Excel and my data file?
We will provide all the help and assistance any requestor needs in developing and completing the final query to satisfaction. However, The Office of the Registrar can not provide help or technical assistance with the data file once you have received it. Our recommendation is to obtain help or technical assistance from the requestors tech department, or ITS if necessary The ITS Service Center telephone number is 5-HELP (5-4357).

What is the university policy on sending bulk e-mails, and how do I do it?
In some cases, the data provided to you includes the e-mail address of students. The Office of the Registrar complies with and requires that any user of the Registrar Query System will comply with ITS Bulk E-mail Usage Guidelines. These guidelines and instructions can be viewed at the ITS web site.
