  • Only individuals who are staff and faculty at the university and have a legitimate educational interest, as designated in the Family Educational Rights and Privacy Act (FERPA) will be allowed access to the registrar's query system. No student employees will be given access. "Legitimate educational interest" is the demonstrated need to know by those officials of an institution who act in the students' educational interests, including faculty, administration, clerical and professional employees, and other persons who manage student record information.
  • The RQS can not be used for official reporting for the university in any capacity.  Please contact Institutional Research & Analysis for any official reporting need.
  • The registrar's query system (RQS) is limited only to enrolled student data. There is no financial aid, admission or student billing data.
  • Note that most of the student data in the Central Information Warehouse is updated on a nightly basis. However, some of the data is only updated periodically. (I hope to include a note from IRM as to what this includes).
  • Data access will be evaluated on an individual basis, based upon the requestor's job responsibilities. Thus, different individuals in the same department may have different levels of query access within the RQS.
  • Some student data is considered highly sensitive and will be evaluated for release. In the event the requestor is supplied this data, it will only be made available to those individuals in the requestor's department or college. Some examples of this data include citizenship, ethnicity, probation/suspension, social security numbers, etc.
  • RQS access requires individuals to apply to both the Student CIW for access, as well as the RQS. Access will only be granted to individuals, and logins and passwords may only be used by that person and must be kept confidential.
  • Custom queries will be created for departments and evaluated for release. The cost of developing a custom query is a standard $155. Those queries that are complex and require more than four hours of programming, such as those running against multiple terms, will be charged at an additional rate of $75 for each hour over four hours.
  • Custom queries that need modification for additional data will be charged $75. Those queries that are complex and require more than four hours of programming, such as those running against multiple terms, will be charged at an additional rate of $75 for each hour over four hours.
  • Individuals running queries through the RQS will need to have Excel training to process the data output. The registrar's office will not include Excel training to individuals.
  • Data obtained from queries in the RQS may not be shared with a third party without the students' written consent. The written consent must:
    1. Specify the records to be released.
    2. State the purpose of the disclosure.
    3. Identify the party or parties to whom disclosure may be made.
    4. Be signed and dated by the student within the last year.
