FERPA

  • Training and Employee Responsibilities

    The Office of the Registrar follows FERPA guidelines (Family Educational Rights & Privacy Act), which is a federal law designed to protect the privacy of education records, to establish the right of students to inspect and review their education records, and to provide guidelines for the protection of inaccurate and misleading data through informal and formal hearings. There are certain guidelines that as faculty and staff members you are expected to know and follow. Please see FERPA Training for Faculty, Staff and Student Employees for specific information. Every employee is to have a Employee Acknowledgement of Student Data Access Regulations How to view this PDF on file with their department.
  • Parental Access to Student Educational Records

    Parents may be granted access to their student's educational record in one of two ways. If the student has granted permission for parental access, this appears on SIS screen 119, Flag 6, and the field will be coded with a Y. If Flag 6 is Y, only the parent(s) listed on screen 19 may be granted access to the educational record.

    The second method for parents to obtain access to the student educational record is to complete a Parental Affidavit of Dependency. This form must be completed by the parent, notarized, and returned to the department granting access, along with a copy of the parent's most recent federal income tax form which lists the student as a dependent. Departments may download the Generic Parental Affidavit of Dependency, and modify the generic form to include the department name and mailing address. Items which should be updated by departments appear in red in the Generic form. Once the form is received, departments must retain the form as part of the education record.
