Web Grading Overview

Following a highly successful web grading implementation last fall, we are excited to announce that web grading has a new name beginning this spring! In keeping with the idea of uploading grades to the web, the system is now known as upgrAde.

GO GREEN AND LEAVE PAPER BEHIND!

Did you know that fifty percent of Boulder campus grades were submitted via the web in Fall 2007? A total of 60,563 grades were submitted via the web for 1,849 courses. Several enhancements have been made to upgrAde to make your spring grading experience even better.

  1. The page time-out has been extended to two hours, to enable instructors with very large lectures time to enter all grades for their students.
         IMPORTANT ! - When completing your electronic web grade
         sheet, be sure to SAVE your work EVERY 20 MINUTES by
         clicking the "I'll finish later button."    You can then enter
         more grades, but this step will help prevent any loss of data
         before submitting your electronic grade sheet.


  2. The electronic grade sheets did not initially sort correctly last fall. This has been corrected, so names such as McDonald and O'Brian and De Gallo will appear correctly on the grade sheet.

  3. Faculty members who populate grade sheets by uploading a comma-separated value (.csv) file, can now re-load the .csv file if they so desire. This was an issue last fall when several professors needed to change student grades after they had populated their electronic grade sheet but before the grades were submitted to SIS

  4. The completed electronic grade roster did not contain course number and instructor name. This has since been added, so this spring departments may print the completed grade roster and the new information will display.

  5. It is not necessary to return the printed final grade lists to the Office of the Registrar if you are using upgrAde.  However, please remember that final grade lists contain confidential student information and must be disposed of properly (shredded).  You can return them to the Office of the Registrar for disposal if you do not have proper shredding available to you.

 

Timeline for Spring 2008

April 23, Wednesday: Faculty members will be able to view their Spring 2008 courses and electronic grade sheets in CUConnect. Electronic grade sheets will appear in the Faculty Course Toolkit under the Courses tab. Click on one of the courses which appear, and one of the options available is Web Grading. Click on this option and the electronic grade sheet for the course will open.

April 23 - May 13: upgrAde will be available to enter Spring 2008 grades beginning 8:00 a.m. on April 23, and will close May 13 at midnight. Any grades not submitted as of May 13 will have to be recorded on the hard copy grade sheets, and returned to the Registrar's Office.

May 2 - 13: The upgrAde Help Line will be operational. Please call 303-492-3015 to speak to someone Monday through Friday, 9:00 a.m. to 5:00 p.m. Although the Help Line will not be staffed on weekends, instructors may leave a message and someone will return their call the following Monday.

RQS Grade Liaison Self Service Report Query

Department Liaisons may run a Registrar Query System (RQS) self service data report to print completed grade sheets for departmental use. Because these reports are always available for self service for current and past terms, you may find there is very little need to print or save them unless absolutely needed. Please handle these completed grade sheets in a confidential manner, and always secure with a password.

What is upgrAde web grading, and how do I participate?

UpgrAde web grading gives you the ability to submit course grades electronically using an electronic grade sheet.   Once you submit your electronic grade sheet, it is uploaded to SIS that night.   Faculty will be able to locate their electronic grade sheets via the portal.    Go to  https://cuconnect.colorado.edu,  select Faculty Toolkit and then Courses.  

Do I have to use upgrAde web grading?

No, use of the upgrAde web grading system is optional for faculty.   The hard-copy bubble grade sheets will still be produced and distributed as usual.  Faculty may complete and return the hard-copy grade sheet, or submit their course grades on-line via the portal.   Faculty who submit their grades on-line using upgrAde do not need to return the printed final grade lists to the Office of the Registrar.  All hard-copy grade sheets must be returned to your Departmental liaison and must dispose of them properly (shredded).  They can be returned to the Office of the Registrar for disposal if you do not have proper shredding available to you.

Where can I find my electronic grade sheets?

I looked on CUConnect but my electronic grade sheets do not appear.   What happened?

Electronic grade sheets are only available after the grade cycle is created each term.   For the Spring 2008 term, the Boulder campus grade cycle will be created Wednesday, April 23, and electronic grade sheets will be open and available at 8:00 a.m. until May 13 at 12:00 midnight.   You will not be able to view or update electronic grade sheets prior to April 23 or after midnight May 13.

Do I have to submit all grades for a course at one time?

When submitting course grades electronically, an instructor may complete part of the grade sheet and save it to return later to enter the remainder of the grades.   Incomplete grade sheets cannot be submitted.   Once all grades for the course are entered on the electronic grade sheet, it can be saved and then submitted for upload to SIS.   Because web grading permits an instructor to save an incomplete as well as a complete grade sheet, it is imperative that the instructor SUBMITS the completed grade sheet.  Complete grade sheets which are not submitted for upload do not record the grade in SIS.  

After submitting my electronic grade sheet, can I call it back to change a grade if I need to?

No, once the electronic grade sheet has been submitted, a change of record form must be submitted to change a student’s grade.

Do I need to returning final grade lists for courses graded via upgrAde?

It is not necessary to return the printed final grade lists to the Office of the Registrar if you are using upgrAde.  However, please remember that final grade lists contain confidential student information and must be disposed of properly (shredded).  You can return them to the Office of the Registrar for disposal if you do not have proper shredding available to you.

I keep my grade lists electronically in an Excel file.   Will the web grade system accept grades from my Excel file?

Yes, data from your Excel grade file can be uploaded to the web grade system as a comma separated value (.csv) file.   Data in a .csv file must be in the order SID,GRADE to upload correctly.

I use the CULearn system for some of my courses.   Can I upload my CULearn grades to the UpgrAde web grading system?

Yes you can, although due to the fact that CULearn does not store SIDs but utilizes a username instead, faculty who use CULearn and want to upload their grades via the web grading system will need to follow this procedure. First, in CUConnect download an Excel-friendly course roster and save as a .csv file. Second, upload this .csv file into your CULearn gradebook for the course (this will add a column containing SIDs into your CULearn gradebook). Finally, export the CULearn gradebook containing the SIDs, and delete all columns except for SID and Grade. This two-column file can then be saved as a .csv file and uploaded into the web grade system. For specific steps, please go to the following links:

What if the SID in my Excel file has hyphens?   Do I have to remove them before submission?

No, the web grade application will remove the hyphens as the file is uploaded.

I know a student was enrolled in my class but his/her name is not on the upgrAde web grading form.

Web grading forms only display names of students who are eligible to receive a grade in the course. If a student has withdrawn from a course his/her name will not appear on the web grading form. If you want to check the status of an individual student call Academic Records at 303-492-6907, then press 0 to bypass the recording and reach an operator.

I had a student add my course very late in the term and their name does not appear on my electronic grade sheet.   How do I submit a grade for this student.

Only students who are officially enrolled in a course prior to the creation of the term grade cycle have their names appear on the printed grade sheet and the electronic grade sheet.   If the faculty member submits grades online and a student does not appear on the electronic grade sheet, a Change of Record form must be submitted to Academic Records in the Registrar’s Office to officially record the student’s grade.

I keep my electronic grade book in SID order, but my electronic grade sheet appears in alphabetical order.   Can I change the display order of my electronic grade sheet?

Yes, faculty can choose to sort the electronic grade sheet in either alpha or SID order, to match the order used by individual faculty grade books.

If the Teaching Assistant is set up in SIS as an instructor they will have the ability to enter grades on the electronic grade sheet.  Only the first three instructors listed in SIS for a particular course will be able to enter electronic grades.   TA’s or GPTI’s who are not set up on SIS as an instructor, or who are listed on SIS as the fourth or fifth instructor,  cannot enter grades electronically.

Several of my TAs instruct and teach Lab sections for my course.   Can the lab grades be submitted electronically?

In keeping with current grading policy, the course lecture is the only activity type for which you can submit an electronic grade for upload to SIS.  

One of my students mentioned that she registered for my course with the Pass/Fail option.   Does the web grade system support P/F grades?

Yes,   Just like the hard-copy grade sheets, an instructor always records the letter grade earned by the student.   After the grades are uploaded to SIS, a pass/fail conversion program will convert letter grades to P or F for those students who registered in this manner.

When is it appropriate to use the XF grade that appears on the web grade sheet?

Faculty who are assigning a final grade for a student who has failed to attend any class and who has not completed any course assignments have the option to assign the grade of XF to the student. The XF itself will not appear on the transcript, but the grade of F will be assigned. The XF is a code that will be stored in the Student Information System that indicates the student received a failing grade for nonattendance. In the event the student petitions for a retroactive drop, the XF code will benefit the dean's office by identifying through SIS the differing circumstances under which the failing grade was assigned. Note that the XF grade option appears only in the web grading system, and does not print on the hard-copy grade sheets.

When is it appropriate to use the QF grade that appears on the web grade sheet?

Faculty who are assigning a final grade for a student who has failed to complete the class, but did attend for any length of time, should assign the grade of "QF" to the student. The QF grade is not an actual grade; it is a code that will be stored in the Student Information System that indicates the student received an "F" grade for failure to complete the course.   In the event the student petitions for a retroactive drop, the "QF" grade will benefit the dean's office by identifying through SIS an earned failing grade from an unearned failing grade.
